What is Timeboxing?

Timeboxing is the practice of allocating a fixed time period, or 'box,' to a specific task or activity. Unlike a to-do list, timeboxing requires you to decide in advance how much time you'll spend on a task, helping to keep you focused and on track.

How to Use Timeboxing

  • Identify Your Tasks: Begin by listing out the tasks you need to accomplish. Include everything from work-related projects to personal errands.
  • Allocate Time Boxes: Assign a specific time box to each task. Be realistic about how long each task will take. For example, assign 30 minutes for email checking, 1 hour for report writing, etc.
  • Schedule Your Boxes: Place these time boxes into your daily schedule. If you use a digital calendar, color-coding different tasks can be helpful.
  • Set Clear Goals for Each Box: Define what you aim to achieve in each time box. For instance, in a 45-minute time box for a project, your goal might be to complete a specific section.
  • Minimize Distractions: During each time box, eliminate distractions. This means turning off phone notifications, closing unrelated browser tabs, etc.
  • Stick to the Schedule: When the time box begins, start working on the task. When it ends, stop working on it, even if you haven't finished. This helps to develop discipline and a sense of urgency.
  • Review and Adjust: At the end of the day or week, review your time boxes. Did some tasks take longer than expected? Adjust future time boxes accordingly.

TIP: Schedule also time for rest and for your favorite activities.
